Video Conferencing Services in Abu Dhabi: Systems, Equipment and Installation
Emirtech designs, supplies, installs and supports video conferencing systems for meeting rooms, boardrooms and training rooms in Abu Dhabi and Al Ain. We work with Microsoft Teams, Zoom and Webex, start with a free site survey and send a written, itemised quotation.
In short: a video conferencing service covers everything between a plan and a working room: surveying the room and the network, choosing the camera, microphones, speaker, display and room controller, installing and cabling them, setting them up for Microsoft Teams, Zoom or Webex, testing a call with a remote participant, handing over documentation and training, and supporting the system afterwards. Emirtech provides all of these in Abu Dhabi and Al Ain. Cost depends on the room, so every quotation follows a free site survey.

What a video conferencing service includes
Every project follows the same stages. The detail changes with the room, which is why the survey comes first.
| Stage | What happens | What you receive |
|---|---|---|
| 1. Survey | We visit the room and check size, seating, acoustics, lighting, display position, existing cabling and network, and the platform you use. | A free survey that ends with a list of what can stay and what should change. |
| 2. Design | We choose the camera, microphones, speaker, display, room controller and cabling that suit the room. | A written, itemised quotation. |
| 3. Supply | Hardware is sourced through standard UAE distribution channels and matched to your platform. | Equipment listed by model and quantity. |
| 4. Installation | Mounting, cabling and containment, power or PoE where suitable, and connection to your network. | A tidy installation that follows the agreed design. |
| 5. Configuration | We set up the room device and link it to your Microsoft 365, Zoom or Webex account, the room calendar and a booking panel where one is fitted. | A room that joins scheduled meetings. |
| 6. Testing | We test a call with a remote participant: audio, camera framing, content sharing and one-touch join. | A tested room before handover. |
| 7. Handover | We provide as-built cable schedules, device admin credentials, user guides and a short session showing staff how to start and join meetings. | Documentation and trained users. The exact list is written into the quotation. |
| 8. Support | Annual maintenance contracts cover system health checks, firmware and platform updates and on-site attendance for hardware faults. | Terms tailored to the number of rooms. |
Video conferencing equipment: what goes into a room
The equipment depends on the room and not on a brand. This table lists the parts of a typical video conferencing system.
| Part | What it does | When it is needed |
|---|---|---|
| Camera | Shows the people in the room. A video bar combines camera, microphones and speaker; a separate PTZ or auto-framing camera follows the speaker. | Every room. A video bar suits small rooms; separate cameras suit larger rooms. |
| Microphones | Pick up voices evenly so remote participants hear everyone. | Table or ceiling-array microphones for larger rooms and long tables. |
| Speaker and DSP | Play remote voices clearly and balance the sound. | A DSP is added when a room has several microphones and speakers. |
| Display | Shows remote participants and shared content. | One or two displays. An existing display can stay if its size, resolution and inputs suit the room. |
| Room controller | A touch panel for one-touch join and room control. | Dedicated Teams Rooms and Zoom Rooms systems. |
| Room device or BYOD | A dedicated room device runs the platform; in a BYOD room a laptop connects by USB. | Dedicated for busy shared rooms; BYOD for flexible, lower-cost rooms. |
| Network and cabling | A stable wired connection, with PoE for cameras and panels where suitable. | Every room. |
| Booking panel | Shows whether the room is free and reads the room calendar. | Offices with shared rooms. |
| Wireless presentation | Lets people share content without cables. | Rooms used by visitors and many different people. |

What affects the cost of a video conferencing system
There is no fixed price, because these factors change from room to room:
- Room size and seating: larger rooms need more camera coverage, microphones and speakers.
- Audio: microphone and speaker design is a major part of the cost in larger rooms.
- Displays: the number and size of screens, and whether existing displays can stay.
- Cabling and installation: containment, mounting, PoE and network connections, and the time needed to commission and test the room.
- Platform and licences: Teams Rooms and Zoom Rooms licences are bought separately from the hardware and may be recurring subscriptions, so check the platform's current terms.
- Extras: room booking panels, control systems, wireless presentation and AI camera features.
- Support: an annual maintenance contract is optional and depends on the number of rooms.
Emirtech publishes no price list. A free site survey is followed by a written, itemised quotation that shows each of these items. See also the conference room AV cost guide.
Which platform: Teams Rooms, Zoom Rooms, Webex or a BYOD room?
Choose the platform your organisation already uses for meetings and calendars. The room device must be supported for that platform; a device approved for one platform is not automatically approved for another, so we confirm this at the survey. The platform room licence is separate from the hardware and its terms change, so check the platform's current terms.
Network and room readiness
A video conferencing room depends on the network as much as on the equipment. Before installation we check:
- A wired connection for the room device, with PoE where cameras and panels are powered from the switch.
- Your IT policy for network segments, quality of service and firewall rules for the platform you use.
- Room acoustics, lighting and windows, because they affect how the camera and microphones perform.
- Display position, power and cable routes, including any building-management approval.
Emirtech also designs structured cabling and enterprise Wi-Fi, so the room and the network can be planned together.
