How a POS System Works

A modern POS system brings together hardware and software to manage the complete sales cycle. Here is what happens at each stage:

  • Hardware setup: The system comprises a computer or tablet, barcode scanner, receipt printer, cash drawer, and card reader. These components form a unified transaction processing station.
  • Product & inventory configuration: Products are entered with names, prices, and barcodes. Advanced systems can import data from external inventory management platforms or sync automatically.
  • Sales processing: The cashier scans items or searches the product catalogue. The system calculates the total and displays it on screen instantly.
  • Payment processing: The customer selects their preferred payment method — cash, card, mobile wallet, or contactless. The POS communicates with the payment gateway to authorise and complete the transaction securely.
  • Receipt generation: A receipt is issued via printer, email, or SMS, containing full transaction details and any applicable discounts.
  • Reporting & analytics: Every transaction is logged. Managers can view real-time dashboards covering revenue, top-selling products, staff performance, and customer trends.
  • System integrations: POS systems can connect to accounting software, e-commerce platforms, and CRM tools, eliminating manual data re-entry and ensuring consistent records across the business.

Security Features of a Reliable POS System

Payment security is a critical requirement for any POS deployment. Emirtech supplies systems that incorporate industry-standard protections to help safeguard customer data in line with UAE and international standards.

  • Encryption (SSL/TLS): All payment data is encrypted during transmission, preventing interception and unauthorised access.
  • Tokenisation: Sensitive card numbers are replaced by unique tokens that have no value if intercepted, reducing the risk of data breaches.
  • EMV chip card support: EMV-compliant card readers are supported, significantly reducing card-present fraud.
  • PCI DSS support: Systems are configured to support Payment Card Industry Data Security Standard controls that protect cardholder data; your acquiring bank or payment provider sets the compliance requirements for your business.
  • Role-based access control (RBAC): Staff accounts are configured with permissions matching their job roles, limiting exposure to sensitive functions.
  • Secure Wi-Fi & VPN support: WPA2-encrypted wireless connections and optional VPN tunnelling protect data in transit across the network.
  • Audit logs & monitoring: All user actions and system changes are logged, enabling rapid investigation of any anomaly.
  • Automatic data backup: Regular encrypted backups — locally and to cloud — protect business data against hardware failure or accidental loss.

How POS Systems Improve the Customer Experience

Modern POS systems go beyond transaction processing to actively improve the quality of customer interactions. Faster checkouts, flexible payment acceptance, and integrated loyalty programmes reduce friction at the point of sale. CRM integration allows staff to recognise returning customers, apply personalised promotions, and track purchase history — creating a more engaging retail experience.

Omnichannel-ready POS platforms also synchronise online and in-store inventory in real time, so customers receive accurate stock information and consistent pricing whether they shop in person or online.

Answers

Frequently Asked Questions

What is a POS system?
A POS (Point of Sale) system is a combination of hardware and software used by businesses to process sales transactions, accept payments, manage inventory, and generate reports. It replaces the traditional cash register with an integrated platform that connects sales, stock, and customer data in real time.
What types of POS systems does Emirtech supply in Abu Dhabi?
Emirtech supplies fixed terminal, mobile and tablet-based, cloud-based, restaurant-specific, self-service kiosk, and all-in-one integrated POS systems. Each solution is configured to match the operational requirements of retail stores, restaurants, hotels, and service businesses in Abu Dhabi and Al Ain.
Is ADMCC approval relevant to a POS project?
No. ADMCC approval covers CCTV and electronic-security installations in Abu Dhabi; it is not a POS or software credential. Where a POS project also includes CCTV or access control, that part of the work falls within our ADMCC-approved scope. Emirtech Technology has operated from M44, Mussafah, Abu Dhabi since 2018 and serves clients in Abu Dhabi and Al Ain, and in Dubai only for IT AMC and time attendance.
Does a POS system work without an internet connection?
Many modern POS systems include a secure offline mode that continues processing transactions when internet connectivity is lost. Transaction data is encrypted and stored locally, then automatically synchronised with the server once the connection is restored.
How much does a POS system or POS machine cost in Abu Dhabi?
The cost depends on the type of system, number of terminals, software requirements, and integration needs. A quotation normally has four parts: the terminals and peripherals (screen, printer, scanner, cash drawer), the software licence or subscription, installation and training, and ongoing support or AMC. Card-processing fees are separate and set by your acquiring bank or payment provider. Emirtech does not publish a price list; it provides a free site assessment and tailored quotation. Contact us on +971 55 651 7843 or at [email protected], or submit a request online.
Can a POS system integrate with accounting and e-commerce software?
Yes. Modern POS systems can integrate with accounting platforms, e-commerce stores, CRM tools, and inventory management systems. This eliminates manual data re-entry and ensures consistent financial and stock records across all business channels.
Is a POS system PCI DSS compliant?
PCI DSS (Payment Card Industry Data Security Standard) applies to the businesses and providers that handle card data, so a POS product alone cannot make a business compliant. Reputable systems support its controls, such as encryption, tokenisation and access controls, and card terminals are normally validated under the separate PCI PTS standard. Emirtech configures POS systems to support these controls but is not a PCI assessor and does not issue PCI certificates; confirm your obligations with your acquiring bank or payment provider.
Do you provide POS installation and training in Abu Dhabi, Al Ain and Dubai?
Yes. Abu Dhabi and Al Ain are our priority areas, and in Dubai we take only IT AMC and time attendance, through scheduled on-site visits; we do not mobilise to Sharjah or the Northern Emirates. Our service includes hardware installation, software configuration, staff training, and optional annual maintenance contracts (AMC) to keep your POS system operating reliably.
What is a POS machine in the UAE?
In the UAE, POS machine can mean two different things. One is the billing system at the counter: a screen or tablet, receipt printer, barcode scanner and cash drawer running POS software, which is what Emirtech supplies, installs and supports. The other is the bank card terminal that takes card payments, which is set up under a merchant agreement with your acquiring bank or payment provider. Many shops use both, connected at the checkout.
Which POS system is best for a small business or restaurant?
The best POS system is the one that matches how you sell, not the one with the longest feature list. A single shop with barcoded stock usually needs a fixed terminal, scanner, receipt printer and cash drawer. A restaurant or cafe needs table management, kitchen printing or a kitchen display, and delivery-platform orders if you take them. Several branches usually suit a cloud POS with central reporting. Whichever you shortlist, ask for a demo with your own products and prices, check the VAT receipt and offline behaviour, and agree in writing who supports the hardware and who supports the software. Emirtech assesses your counters, network and workflow on a free site visit and quotes to fit.
